Fiotec creates project plan for PAHO new digital account rendering procedure - Fiotec

Fiotec spends 2,500 paper sheets in average for the account rendering of a project. The process has a high cost and generates an intense work demand. Those problems will be solved by projects funded by the Pan American Health Organization (PAHO), through the digital account rendering, a process having Fiotec as pioneer. On October 14, PAHO promoted the “1st Training on Account Rendering and Good Practices for Letter of Agreement and Financial Support of PAHO”, taking this moment to explain the new account rendering procedure, still being tested. The meeting counted on the participation of all institutions having the organization as sponsor.

The method was created upon a demand presented by Fiotec, during a meeting held in July this year, attended by the Projects area and the IT and Financial and Accounting managements of Fiotec. That is why the foundation was the responsible for the pilot project of the methodology and for making the first tests, exposed by Elisangela Jaques, employee of the Account Rendering center in the Projects area, during the training. “We were there to be listeners and ended up being ‘lecturers’. This is because we have proven with our experience that the new way of rendering would work”, said Mrs. Jaques. In addition to her, Rafaela Delduque, Sueny Lima, from Projects and Cristianfari Alles, from Special Projects, participated in the event.


Photo release PAHOFiotec’s presentation in the event showed that the account rendering process is well structured and opened a precedent for the other participants to go to the professionals of the institution to solve questions and be inspired by what is done in the foundation. “We have realized during the training that Fiotec is a respected and admired institution. We have seen that we are ahead other institutions”, said Mrs. Lima.

Operation

The process will be performed through the FTP server, which provides, by means of a computer network, the access service for users to a hard disk or server with files through the File Transfer Protocol.

The Account Rendering workers will have access to the PAHO FTP folder in their machines and will be able to access it at the same time as the organization. This makes the rendering process easier, as the documents may be sent to the server during the project execution rather than only in the end, as it is.

Moreover, the electronic method saves financial funds spent with delivery of the approximately eight boxes of documents sent by mail; reduces the work demand of professionals who had to be exclusively devoted to the storage and sending of those documents; and generates an assured delivery. This is because much was already lost with so many documents sent by mail.

Loa-light 

In addition to training, the event brought very good news to Fiotec: from January 2016, the projects intended to the provision of courses and seminars, funded by PAHO, budgeted from USD 5,000 to USD 100,000, will be referred to as “Loa-light” and will be executed through simplified Letter of Agreement.

“This is a great achievement for us, as the Initiation sector has been seeking for almost two years an improved interaction between PAHO and Fiotec, as well as good practices for the development of new projects”, said Rafaela Delduque.
